Match evidence to the decision
Confirm the item, delivery date, visible damage, packaging condition, and requested outcome. Ask for the minimum views required by policy and explain why they help. Offer an accessible alternative when image upload is unavailable or unsafe.
Store files only in the approved claim system. Do not ask customers to send sensitive background details or identity documents that are unrelated to the damage. Record the carrier reference and preserve packaging instructions only when genuinely necessary.
Track evidence requests, upload failures, resolution time, and cases approved without additional material. Repeated requests for the same view usually indicate poor intake design, not poor customer cooperation.
