Prepare the case before translation

Identify the requested language, the customer's goal, decisions already made, and the exact text that needs translation. Remove irrelevant personal data and expand internal abbreviations. Mark product names, policy terms, and numbers that must remain exact.

Preserve uncertainty

A translator should not be forced to guess what an unclear sentence means. Flag ambiguous source text, dates, currencies, and regional terms for clarification. If machine translation is permitted, disclose its operational role and route high-risk messages for human review under policy.

Close the loop with the customer

Return the translated response in the preferred channel, confirm any critical choice, and store the language and reviewer details. Track rework and misunderstanding by case type rather than judging quality from speed alone.
