Build the checklist around live work

A vendor cutover is not complete when user accounts exist. Agents need working permissions, current instructions, tested routes, and a clear owner for cases already in progress. Select a small set of common and high-risk scenarios, then walk them through the new operating path before traffic moves.
Protect cases in motion
Export or transfer only the records the receiving team is permitted to handle. Identify open refunds, escalations, promised callbacks, and cases waiting on another department. Each item needs a named owner after the cutover. Customers should not have to restart because two vendors disagree about custody.
Rehearse failure paths
Test what happens when login fails, an integration is delayed, or a queue routes to the wrong team. Write down the fallback channel and the person who may approve temporary access. During the first shift, compare incoming volume with routed volume and inspect a sample of transferred records.
Use support change management with the case transfer policy to plan the handoff. NIST offers cybersecurity guidance for access and risk discussions. Customer Care Staff can coordinate the operating checklist, but the client approves systems, permissions, and policy decisions.
